Run a session more than once
Give one session several options on the day, each with its own capacity.
8 steps · About 2 minutes · Needs: A session in Offerings
-
Open the session from Offerings
Your eventSet upOfferings -
Select Add an option
go.tito.io/acme/summer-fetes-summer-fete/admin/offerings/session/1 -
Set the start and end
Add a Venue if it differs, and a Capacity if that run has one. Blank is unlimited.
-
Write a Description if this option needs one
Buyers read it under the option when they choose between them, so it's the place for what this run covers, what to bring, or who it suits. An option with no description shows none.
-
Select Add option
Each option you add has its own description, its own capacity and its own on-sale switch.
Changing a whole block at once
Edit, at the top of a session's page, holds everything the set-up screen asked for: the block's name, its description, when it runs, what kind of list it is, and every option in it. Changing the date or the times moves every option in the block, because they all run at the same time. Add an option adds another one at that time.
Each option's places, price and venue are on the option's own page, and the ticket types the block goes on are on the session's page. An option that costs more or less than its ticket is marked in the option list with the difference as a percentage. When an option costs more or less than the ticket, buyers see the difference on it, as "+€12.50" or "−€5.00". An option at the ticket's own price shows nothing. If the block goes on tickets at different prices, an option shows the range, as "−€2.00 to −€2.73", and once a ticket is chosen it shows that ticket's own difference. Each ticket is charged the price of the option chosen for it. When the tickets in one order are on options at different prices, the order shows a line for each price, named after its option, and a refund gives back the price of the ticket being refunded.
Removing an option takes it off the form. Saving is what deletes it, and the first Save asks: it names what's about to go, and Delete and save is the press that does it.
Close it on its own page instead. It comes off sale and keeps everything.
An option's own page has a Delete of its own, for taking one away without opening the block. It asks first, and you land back on the session with the options it has left.
Changing a bookable time slot
A bookable time slot's Edit is the screen you set it up on: a card for each day, headed by its date, with a row for every time under it saying when it starts, when it ends and how many places it takes.
- Change the date at the head of a card and every time on that card moves with it.
- Add a time adds a row to the card you're on, running when the row above it runs.
- Add another day opens a new card on the day after the last one.
- The ✕ on a row takes that time away. The ✕ on a card takes the whole day.
Nothing is deleted until you Save, and the first Save asks, the same as for a choice between options.
Moving its clock is fine: the bookings move with it. To stop it selling instead, close it on its own page.
Times don't have names on this screen, because a time goes by its clock. If you gave one a name somewhere else, it keeps it.
It's the question you answered at set-up, folded away near the top of the form. Change it and Save, and the form comes back as the other shape.
Putting them in your own order
Options go in time order, which is right until it isn't: a headline workshop may deserve top billing whatever time it starts at.
-
Open the offering and select Reorder
It appears once there are two options to put in an order.
-
Drag the rows, or use the arrows
The arrows do the same job from a keyboard.
-
Select Save order
From then on the order is yours, and editing a time leaves it alone.Put them back in time order on the same screen hands it back to the clock.
Buyers see whatever order you set, not just you.
Copying a day of options
Offerings carries Copy a day, which puts one day's options onto another date at the same clock times, with the same names, descriptions, venues, capacities and prices. Options already on the target date are skipped, so running it twice adds nothing. The Options report says what it copied.
A date that has already gone by is asked about before anything is copied. Copy anyway goes ahead with it, which is what you want when you're filling in the schedule of an event that already ran.
Good to know
- An option's description is what buyers read, wherever a time is picked. The session's own description, on Edit, is a note only organizers see.
- An offering is either a choice between options or a bookable time slot, and that answer is on Edit. A time slot is asked before the tickets, a choice after them.
- At most above 1 lets a booker take more than one option, up to the number you set. Each one holds its own place.
- At least 0 lets them decline. They keep the ticket, they're in none of its options, and nothing is held for them.
- A booker buying several of one ticket picks an option for each of them, so three workshop tickets can go to three different workshops.
- Options spread over more than one day are one list.
- Charge a different price for this option prices one option differently from its ticket. The list shows the percentage, and buyers see the difference in money.
- An offering with only one option doesn't ask. The event page states it, and the booker's ticket registers them for it. Add a second option and the question comes back.
- When every option is full the ticket can still be bought, and the buyer gets it without a place. Options that fill up one at a time are shown as sold out.
- The ticket and its email carry a Your schedule section. You can rename that heading from the wording download or a copy review.
