You can draw whenever you like.
-
When you're ready, select Select and read the list
Tick anybody who shouldn't be in the draw at all and select Take out of the draw. Tick anybody who has earned a place outright and select Give a place.
-
Check Left to draw before you draw
Giving a place by hand spends one of your places, so the draw fills only what you haven't already given. The count In the draw is who's still eligible. Put back in the draw undoes either mark.
-
Select Run the draw… and write the email
Subject and Message start empty, so nothing goes out until you write it. Select Start from a suggested message to fill both with wording you can then change. The button that runs the draw says exactly how many invitations go out.
-
Draw again when invitations go unclaimed
Everybody not drawn stays on your reserve. Revoke an unclaimed invitation and that place comes back. Draw again then draws exactly that many more.
-
Finish the ballot when you're done
Finish the ballot… turns down everybody still waiting. The confirm step says whether an email goes out.
With the turn-down email off, nobody who missed out gets an email. They can still see where they stand on the page they landed on after asking, which their confirmation email links to.
Running the draw turns down everybody you took out of it.They get your turn-down email if you switched that on for this form. Up to that point, taking somebody out is only a mark you can undo.
Nobody is ever told they're on a reserve list.Nothing is sent to them, and nothing they can see uses the word.
