Bank transfers and invoices

Let a buyer commit to wiring the money, and issue them an invoice for it.

What you can do here

The buyer enters their name, ticks to commit to the due date, and gets the bank details and a reference to quote. They can also fill in the billing details their own finance team needs, and every one of those is optional. An invoice is issued the moment they commit, showing the bank details and the due date as well as the usual invoice lines. The order stays pending and keeps its tickets reserved until the transfer arrives.

Every other order can be invoiced too, and that invoice shows no bank details and no due date.

An invoice or receipt link opens a preview page first, and Download PDF gets a PDF copy of it.

The document can also be attached to the email. Switch on Attach the receipt or invoice as a PDF in Customize, under the email blocks, and a paid order's confirmation includes its receipt, while the reminders chasing an unpaid transfer include the invoice. It starts switched off.

If the PDF can't be made for any reason, the email still goes out with the link it always had, the tickets are still issued, and the payment still stands.

To change a document, open Customize and look under Document on the Look tab: Document background, Document text, Document lines and Document font. Those four change the document alone. The page around it follows the rest of your Customize settings like any other page a buyer sees.

While the order is pending, the buyer's own page checks for the money and updates itself. It slows down as the wait goes on and stops after about ten minutes, because a transfer clears in days rather than minutes. The page then offers Check now to look again.

Turn it on per event: open the event's Settings, then Payment, and switch on Allow payment by bank transfer. Set what goes on every invoice once for your whole account at Invoicing: Legal / trading name, VAT number, Address and Bank country.

Where the money goes is set at Invoicing. Fill in Account holder and IBAN and buyers can wire straight to you, in any currency, whether or not they're signed in. You mark each order paid when the money arrives. Leave both blank with Stripe connected and Stripe supplies the account details for each euro buyer and matches the money as it arrives, so the order goes paid on its own.

With both set up, Where transfers go on that page chooses between them, and it starts on Stripe. Filling in your bank details doesn't move buyers off Stripe until you pick Buyers wire to the account above.

Your own bank details are the only way to sell paid tickets with no payment service connected at all.

Good to know

  • Days to pay starts at 14. The two chasing fields under it take a list of days for the emails a buyer gets: Remind the buyer this many days before the due date and Chase the buyer this many days after the due date.
  • Cancel the order this many days after the due date cancels an unpaid invoice that many days late and puts its tickets back on sale. It takes up to 365. Leave it at 0 to cancel by hand.
  • The buyer's Billing details take who the invoice is made out to, a full postal address, a VAT number, Your reference and Purchase order number. What they enter is copied onto the invoice at the moment it is issued, so a buyer who later changes their address does not change an invoice already sent. A buyer signed in to a buyer account is offered back whatever they gave last time.
  • Your reference is the code a large organization uses to route an invoice internally. German public bodies call it the Leitweg-ID. Leave it blank if nobody has asked for one.
  • A wire that arrives after its order was canceled or refunded is flagged for you to follow up, and you get an email about it. The money arrived and no tickets were issued.
  • A partial or mismatched wire leaves the order pending. Settle it yourself on the order: Mark as paid issues the tickets and sends the confirmation email, and Cancel order puts the tickets back on sale.
  • A buyer can pay for a change to their order by transfer as well, such as an upgrade or extra tickets. The change gets its own invoice with its own number, reference and due date. The order page then lists every payment against the order, on your side and theirs. Mark that invoice paid on the order when the money arrives.
  • Changes are invoiced only when Where transfers go is set to your own bank account. On Stripe's own account numbers a change still needs a card or PayPal.
  • A change to an order whose own transfer hasn't arrived yet needs Stripe or PayPal. Wait for the first transfer to land, or add the tickets yourself and mark the whole order paid.
  • A change invoice is chased like any other. Remind the buyer this many days before the due date and Chase the buyer this many days after the due date send the buyer the same reminders they get for an order.
  • Cancel the order this many days after the due date covers change invoices too. An unpaid change is undone that many days late and its tickets go back on sale, and the buyer is emailed to say so. The rest of the order isn't canceled.
