Email everyone who is coming

Write one email and send it to every attendee, or to a filtered list.

  1. Open Messages and select New message

    Actions above Attendees, Orders, Invitations and your check-in lists offers Message these people, which opens the composer with that list's filter as the audience. A search term doesn't come across.
  2. Choose who it goes to

    To opens on Everyone with a valid ticket, with five more to pick from. Narrow it down allows you to filter by whether somebody has checked in, what they answered to one of your questions, and more. The count at the end of the line opens the people you're left with.

    You can type in an audience directly, for example: "VIP attendees who haven't checked in", "everyone except Early bird", "registered since last week". Press Enter and it fills in the audience and the conditions. Messages says what each of the six reaches, and which conditions each one offers.

    The count is emails rather than tickets. If someone has three tickets, they're only sent one email.
  3. Write the Subject and the Message

    Formatting is bold, italic, two heading levels and two kinds of list. Add a link takes a web address starting https://, or an email address.

    On a multilingual event there's a tab per language. Anything you leave blank falls back to your default language.
  4. Use Insert details to put their own name in it

    Pick First name and it drops in as a dynamic chip, so each person will see the greeting with their own name. The same menu holds order references, a link to their order and your event details, and an Add to the message group for Their QR code, Button, Picture and What they ordered. Typing { opens it where you're writing.

    A name can be missing, so the name chips carry a word to use instead, already set to "there". Clear it and the whole greeting line goes for the people you have no name for.
    Anyone can forward an email.

    If you include the QR code or a button pointing at the person's order, this will be visible to anyone they forward the email to.

  5. Select Preview → and step through a few real people

    The preview lets you see the message as the recipients will, before you send it. You can also change how the email looks from here: choose Your look to pick up your event's styles, Plain for a simply styled email, and Plain text for no styling at all.

  6. Select Continue…, then choose When and confirm

    The send page shows the real email one named person will get, and how many people it's going to. That count is worked out again here, so it can differ from what you saw while writing.

    Send now starts a sixty-second countdown. Schedule for later allows you to send it at any time in the next six months.

    While the counter runs, Stop it is on the message's page, and the message goes back to your drafts with nobody having had it. After sixty seconds it goes, and it can't be called back.
    A scheduled message works out who gets it again when it sends.

    Anyone who registers between now and then is included. You can edit it, move it, send it early or cancel it right up until the moment it goes.

    Save draft keeps whatever you've written, even a subject on its own, and anyone on your team can open it and carry on.
