Send invitations out

Email one, or a batch, and write the message that goes with it.

  1. Open the invitation and select Send email from the Actions menu

    It reads Resend email if it has been out once already.

  2. Write the email

    Subject and Message body start empty, so nothing is sent until you write it. Select Start from a suggested message to fill both with wording you can then change. Their name goes at the top and the button to accept goes underneath, so what you write is the part in the middle.

  3. Read the line at the top of the invitation

    It names the address the email went to. If the account has no sending address set up yet, the line says nothing was sent. See Set up your email sender.

  4. For a batch, tick several on the Invitations list

    Then choose Send / resend email.

  5. Read the count, then send

    It says how many emails go out, who has had this invitation before and is getting another, how many rows are skipped for having no email address, and how many are skipped for being revoked. The batch goes out in Tito’s wording, which you can change under Customize on the Invitation email screen. To write the email yourself, send that invitation on its own. When it is done, the list says how many people were emailed.

  6. To send a whole list at once, open the list and use Send or Remind

    Send goes to everyone on the list who has an address and has not been emailed yet. Remind goes to everyone who has been emailed and has not replied. Both show a count and ask you to confirm before anything goes out, and the list says how many were sent when it is done.

    A revoked invitation is not emailed.

    Its link answers that the invitation is not available, so Send email is not offered on it and a batch leaves it out. Reinstate it from the invitation's own page to send it again.

    An invitation past its deadline is emailed, with a warning first.

    The send page says the link has lapsed and that whoever gets the email will be turned away, and offers Extend deadline so you can reopen it there. A batch counts these and says how many have lapsed. Sending anyway is a real choice, so the button still works.

    What goes out can't be recalled.

    The count on the confirmation page is what will be emailed, including when you selected every invitation matching a filter. Read it before you send.

    Pressing send twice doesn't email anybody twice.

    A repeat press within a couple of minutes, or a reload after one, reaches nobody a second time.

    Somebody who has already accepted gets a link to their RSVP.

    Resend email to a person who has claimed sends their RSVP link, and the line under the message box says so. Their invitation link answers that the invitation has been redeemed, so the RSVP is the page that opens their tickets and their guests. See Invitations.

    An invitation works whether or not you ever email it.

    The personal link is the invitation, so handing it over any other way works the same.

    A paid invitation needs payments connected before it can be claimed.

    If the ticket has a price and no payment method is connected yet, the send page says so and still sends. Whoever you invited is told on arrival that the invitation isn't ready and to come back later. Connecting payments makes the link they already have work. Any one method is enough. An account taking only PayPal can invite people to paid tickets, and they choose how to pay when they claim.
