Contacts
An address book of everyone you have sold to, across every event.
What you can do here
Contacts is built from activity you already have, with no separate data entry. It stays off until an owner or admin turns it on, from the Contacts tab the first time anyone opens it, or in Account settings.
Under Contacts in the main navigation, choose Customers, Contacts or Lists.
Once it's on, open a row for that contact's own page. It opens on what that person has done: every order, ticket and invitation matched to their email, each linking into the event admin that manages it. Details underneath holds the rest, including every customer the person is on.
Customers
A contact can be one of the people on a customer, so they can sign in as that customer and see its quotes, orders and invoices. On the contact's page, open Actions, select Add to a customer…, choose the customer and select Add to customer. They can sign in straight away. Tito doesn't email them, so let them know.
Every customer they're on is listed under Customers in Details, each linking to that customer's page. Where a customer's quotes need approval, they're added as a requester, and you can make them an approver from the customer's page.
Tags and lists
A tag is a word you file somebody under. A list is a group you pick by hand. Both are on a contact's own page under Details, and selecting either chip narrows the address book to everyone who shares it.
To change them, select Edit. Tags go in one box, separated by commas. Lists have a switch each.
Building a list the other way round, from the list's own page or by ticking rows in the address book, is in Build a contact list.
Good to know
- Turning the switch off stops gathering and hides the address book, and keeps everything. Turning it back on picks up where it left off, plus anything that happened while it was off.
- A download of the address book gives the time each person was added twice: in UTC, and beside it in your own timezone, which its heading names.
- Activity at the foot of a contact's page says who changed that record and when. It answers a different question from the orders and tickets above it, which are what the person did.
